Job Description

Executive Assistant / Office Manager

Duties and Responsibilities:

Provide Executive assistance to the President: Daily activities will include calendar management, organizing meetings and video/conference calls.


Point person for office maintenance, mailing, shipping, supplies, equipment, bills and errands; Answer phones and make follow-up phone calls (Will get transferred to the
Receptionist once we hire one - 6 months to a year in)

Organize and schedule meetings and appointments

Assist President with expense filing and/or reporting.

Document/spreadsheet generation and transmittal

Partner with Parent company regarding maintaining office policies as necessary

Maintain all office equipment and oversee vendor agreements

Ensure office efficiency is maintained and be point of contact for building management

Participate actively in the planning and execution of company events

Will manage daily office schedules, travel, facilities, teleconferencing, purchasing of office supplies and day to day office operations.

Assist with the New Hire On-boarding process.

Assist President with maintaining office budget.

Electronic document transmittal, filing & distribution (Same thing with Project
Coordinator- anticipate bringing someone on once we have the volume to support it).

Occasional event attendance but it would probably be local.

Qualifications

Minimum 4+ years’ experience in Office Management and Administration

Knowledge of office management responsibilities, systems and procedures

Excellent time management skills and ability to multi-task and prioritize work

Attention to detail and problem solving skills

Excellent written and verbal interpersonal skills and strong sense of professionalism

Strong organizational and planning skills

Calm under pressure, sense of humor and good with people

Able to work independently with little supervision

Strong interpersonal skills and ability to build relationships with Parent company staff

Proven track record in meeting deadlines

Proficient with: Word, Excel and PowerPoint
