Job Description

Technical Document Specialist

Responsibilities include converting, formatting, revising and comparing legal documents, spreadsheets and presentations using the Firm’s software (Office 2016, Adobe and DMS), as well as transcription and proofreading.

Administrative responsibilities include assisting at the Intake Desk, answering phones, courier and Client tasks, attorney time entry, travel arrangements, and other general secretarial duties and projects as assigned.

The schedule for this position is a 4-day, compressed full-time schedule working Wed. Sat., 10:15pm-7am.

Technical Support:

Convert documents from various formats to Word, Excel, PowerPoint, Visio and format according to Firm standards;

Revise, proofread and compare documents;

Insert and revise table of authorities, cross-referencing and perform defined terms checks;

Troubleshoot problems with corrupt documents and programs;

Download and print from data sites;

Assist with the initial intake and distribution of work within the department. Enter assignments into work tracking system and monitor requests from ‘open’ to ‘closed’ status, ensuring all service expectations are met.

Qualifications & Requirements

High School Diploma; Associate’s preferred**

3+ years prior experience supporting a Legal dept. (or any combination of training, education and experience that demonstrates ability to perform the above tasks)

Typing 50wpm

Advanced document processing skills using MS Word

Proficiency in MS Excel, MS PowerPoint, and Adobe Acrobat

Ability to handle a heavy call volume/fast-paced environment

Excellent oral and written communication skills

Strong organizational and planning skills, including the ability to manage multiple projects concurrently

Team-oriented, proactive approach

Exceptional customer service skills

Ability to train other Admins. when needed

Professional presence, respect for confidentiality, and ability to interact with clients and staff at all levels of the Firm
