Job Description
Summary:
This position provides administrative and secretarial support for the Director and Managers in the department.
In addition to typing, filing, scheduling, performs duties such as financial record keeping, coordination of meetings and conferences, obtaining supplies, working on special projects.
Also, answers non-routine correspondence and assembles highly confidential and sensitive information.
Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization.
Independent judgment is required to plan, prioritize, and organize diversified workload, recommends changes in office practices or procedures.
Duties and Responsibilities:
Schedules and organizes complex activities such as meetings, travel, conferences and department activities for all members of the department
Creates and develops visual presentations for the department using desktop publishing applications
Leads team and participates in assembly and distribution of large volume month end reports and various presentation materials throughout the year
Assists with record keeping for various firm related entities
Establishes, develops, maintains and updates filing system for the department. Retrieves information from files when needed.
Organizes and prioritizes large volumes of information and calls, including sorting and distributing mail, drafting written responses or replies by phone or email when necessary, and responding to regularly occurring requests for information
Takes message or fields answers all routine and non-routine questions.
Acts as a liaison with other departments and outside agencies, including high-level staff such as Executive
Director, Chief Financial Officer and Directors of Administration. Handles confidential and non-routine information and explains policies when necessary.
Works independently and within a team on special nonrecurring and ongoing projects.
Acts as project manager for special projects, which may include: planning and coordinating multiple
presentations, and disseminating information.
Types and designs general correspondence, memos, charts, tables, graphs, business plans, etc.
Proofreads copy for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
Other duties as assigned.

Education and/or Experience:
Required:
High School graduate or equivalent
Experience in Microsoft Office applications, including MS Word, Excel, & PowerPoint
Preferred:
Some college preferred
Ability to accurately type 50 words per minute
