Description Overview:

We are seeking a highly organized and experienced Executive Administrative Assistant to handle a variety of administrative tasks and personal tasks; while demonstrating professionalism, confidentiality, attention to detail and courtesy at all levels of the organization supporting our CEO and CFO.

As an Executive Administrative Assistant, you will play an integral role in supporting various projects for these two senior executives.

The Executive Administrative Assistant will work very closely with senior leadership and other members of their immediate team to ensure their efficiency in day-to-day operations.

This role will also collaborate with other support staff to schedule meetings and arrange travel plans for staff and clients.

Essential Duties and Responsibilities:

Accurately and proactively manage the executives' business and personal calendar's and priorities while maintaining strict confidentiality.

Monitor and screen all telephone calls, emails, mail, and correspondence using discretion to action, delegate, and re-direct if appropriate.

Build relationships with Executive Assistants of priority clients as well as executives within the SVPs personal network.

Provide materials and documentation for executives to enable them to read/prepare in advance of meetings.

Attend management team meetings and take accurate minutes with action items; conduct follow up with stake holders to ensure deadlines are met.

Proactively follow up with other parties where their action/inaction could impact the ability of the executives to meet their accountabilities.

Coordinate travel for the CEO and other executives.

Prepare routine correspondence, acknowledgements, and reports.

Greet guests, vendors, and customers.

Maintain and develop vendor relations.

Create communications, distribute, send, and receive mail.

Assist in All Employee Meeting Calls webinars, set up and preparations.

Desired Skills and Experience:

Must have 10+ years of experience supporting a top executive(s).

Bachelor's degree preferred.

Prioritize the needs of senior executives to achieve delivery of their accountabilities with strict confidentiality.

Exceptionally organized, including strong time management and communication skills, both written and oral.

Expert knowledge of Microsoft Word, Excel, PowerPoint, and Outlook.

Strong interpersonal skills with the ability to maintain a high level of customer service.

Ability to work under pressure and meet deadlines in a fast-paced environment.

Project Management skills with the ability to multi-task and persistence to ensure people meet deadlines.

Self-motivated; looking to continuously learn and apply new skills to improve processes.

Proven track record of working cooperatively and effectively with various personalities and levels of management and support staff.

Strong interpersonal skills with a customer focused attitude.
