Job Description

Our client is a litigation support service company, seeking a Status and Service Coordinator to become part of their team.

JOB DESCRIPTION:

The position entails performing data entry of legal case information and service of process deadlines, designations, and instructions.

In addition, you will be primarily responsible for reviewing new service requests submitted electronically via our client portal.

You will monitor the different stages of service, update and communicate with clients, contractors and employees regarding status.

You will become an expert in the different modes of service of process and the rules that dictate filing deadlines; use the New York State Unified Court System website to e-file affidavits of service in a timely manner and email clients the conformed copy.

Responsibilities:

Able to handle high volumes of data input in a legal software system

Acknowledge receipt of documents and client-specific requests via email

Verify and manage client deadlines

Review legal documents (Pleadings/Initiating Papers) and extract basic/relevant information to create job orders

Prepare documents for filing in different courts

Monitor and manage a dedicated mailbox

Proofread and acknowledge receipt of affidavits

Perform data entry of legal case and service of process information

Upload affidavits to the data management system

Use the New York State Unified Court System website to e-file affidavits of service

Email and communicate with clients

Coordinate and prioritize jobs for distribution

Perform follow up tasks as directed by clients (paralegals and attorneys)

Print, coordinate and prepare documents and labels for shipping


Requirements:

a minimum of six (6) months experience with data entry in a legal setting or service industry

strong working knowledge of New York Rules of Civil Procedure and personal jurisdiction

New York Notary License a plus but not required

baccalaureate degree from an accredited college, and either one year of satisfactory full time professional
general secretarial experience or six months of satisfactory full time professional legal secretarial experience.

Familiar with legal terminology and documents, including but not limited to: affidavits, subpoenas, and initiating papers (summons with notice, summons, and complaint, or notice of petition and petition).

must be detail-oriented, have the ability to multi-task, prioritize and handle the large workloads in a
deadline-driven environment

Fast typing skills and data entry experience are a must.

Advanced experience with Microsoft Office Applications (Word, Excel, Outlook) and tech-savvy preferred.
